When an onboarding invitation is sent to the employee, the Invite Employee button is replaced by Resend Invite and Cancel Invite buttons.
β
An invite can be cancelled if the new employee is no longer required to complete the onboarding form, e.g., because the offer of employment is rescinded or because you will be onboarding them manually.
β
If there is an issue with delivering the email, you will need to cancel and re-invite the employee. For example, if:
The original email address was incorrect and needs to be updated in the Onboarding page.
They would like the invite to be sent to a different address.
Their email account has been compromised, so the invite link should be expired immediately.
The original link expired, or the new employee needs more time. Cancelling and then sending a new invite gives the employee 10 days from the date the new email was sent.
Cancelling an invite immediately expires the Complete Onboarding link in the original email. If the new employee uses the link after their invite is cancelled, they will see the following message.
To cancel an invite:
Go to Access WageEasy, double click on the Onboarding icon.
Double click the new employee's record.
Click Cancel Invite. A confirmation message is displayed.
Click OK to acknowledge and close the message. The Resend Invite and Cancel Invite buttons are removed and replaced by an Invite Employee button. Onboarding Status is updated to Invite Cancelled.
The new employee does not receive a notification of the cancellation, but if they use the Complete Onboarding link in the original email, the page displays a cancellation message instead of opening the form.
To re-invite the employee to onboard:
Update any onboarding details as required, e.g., enter a new email address or mobile number for the employee.
Click Invite Employee then click OK to acknowledge the confirmation message that is displayed.
The Onboarding Status is updated to Invite Sent, and a new email invite and text notification are sent to the new employee.
