Follow the steps below to:
To increase or decrease the number of active employees for processing payroll in your WageEasy database.
Reprint a registration form to send to Licensing.
To recreate the registration form if the serial number does not match.
Open the WageEasy database you wish to increase/decrease licenses.
Next to Tools, click Help, Show Licence, Next.
Select the Change Licence Details radio button, Next.
Tick, I have read and understood the above information, Next.
Tick, The above company details are correct; if prompted, enter your client number, Next.
In the Licensed for ?? Active Employees, change the number to the new number needed. If you want to print out a Registration form with current information, then do not make any changes to the number of Active Employees. Tick The above licensing details are correct, Next.
If you need to cancel your subscription, you will change the Active Employees to 0.
Print Registration form, (don't tick the box on this screen), Next.
Raise a case online in the Access portal referencing this article and attach the above form. Note: If you are not a direct client, you need to send this form to your WageEasy Dealer.
Upon receipt of the registration form, our licensing team will send you an invoice. When the invoice has been signed and returned to WageEasy and payment has been received, a permanent license for your database will be issued.
Note: As soon as you change the license details in a WageEasy database, the database is on a temporary license that expires after 45 days. During the temporary license period, you will be able to process pay as normal; however, when the temporary license period expires, you will not be able to process.
Additional Information to be aware of if you have changed your Active Employees to zero
Your WageEasy will automatically go into a temporary license mode. This will allow you read-only access to your historical data, but you cannot process any more pays. Save the installer for the version of Wage Easy you have, should you ever need to reinstall it, as you will not be entitled to any new version of WageEasy thereafter; otherwise, it will be chargeable.
It is important that you archive your database properly to avoid any loss of data. Your archive should be stored somewhere secure, i.e., one copy to a removable storage device and another on the server, etc. You can create an archive of your current WageEasy data by either:
Creating a copy of it using any of the standard file copying techniques and storing it securely.
or saving a backup of the database.
