Banking of Hours in WageEasy may be used when you want to display the total number of hours an employee works and then, instead of paying the employee for the total hours, the excess hours are banked (deducted) for later use and payment.
To bank the hours, in Wages, Time Sheet enter the actual worked hours reflecting the additional hours the employee worked, i.e. instead of working 7.36 hours, they worked 9.36 hours which is an additional 2 hours. 9.36 hours should reflect on the Time Sheet.
On the Adjustment screen, select Leave and Add. Select the leave type used for banking hours (i.e. TOIL), select the date that the employee worked the extra hours, and ensure that the hours are entered as a negative. Negative hours will add to the employee’s leave balance for this Leave Type (TOIL).
On the payslip, the 2 hours will be deducted from the employee’s pay and the employee will get paid for 38 hours. The banked hours are deducted from total hours worked and total amount for later use. The employee’s TOIL balance is now 2 hours.
Note: We recommend having a dedicated leave type to distinguish banked hours from other leave types. Give it a name where you can easily distinguish it as banked hours i.e. Time Off in Lieu (TOIL) or Banked Hours.
When the employee needs time off (1 hour in the example) and wants to use the Banked Hours, in Wages, Time Sheet, enter the actual worked hours.
On the Adjustment screen, select Leave and Add. Select the leave type used for banking hours (TOIL in the example), select the date that the employee took the hour off, and ensure that the hours are entered as a positive. Positive hours will reduce the employee’s leave balance for this Leave Type (TOIL) and pay him for the hours.
On the payslip, the 1 hour will be added to employee’s pay and the employee will get paid for 38 hours. The banked hours are added to the total hours worked and total Amount paid, just like any other leave type. The employee’s TOIL balance has now reduced and is 1 hour.
Reporting:
If you wish to keep track of the TOIL (Time of in Lieu) hours being banked and show the balance on the pay slip, from Setup, Preferences, Pay Slip, Payslip Options, scroll down to Show these Leave Accruals and select to show TOIL on the pay slip.
On any leave entitlement reports a negative amount ($ or hours) indicates an employee has been paid more TOIL than they have accrued, where a positive amount indicates they have TOIL available to take.
