The steps below are for users who have purchased a Remote Time Clock and will be using it in conjunction with the WageEasy Remote Timesheet Module.
If you are going to use the Remote Time Clock interface to the Remote Timesheet, you will need to:
Install Remote Timesheet and register it.
Install the DBISAM server.
Install the Remote Time Clock software.
Register your Remote Time Clock.
Setting your Time Clock Option for Rounding
Note: You can block employees from rounding times back at the remote time clock, or can set grace periods or auto rounding options for clock on and clock off times. By doing this, the times clocked will have rounding options set, ready for use.
Restrict Time Adjustments
If you select this option, your employees will not be able to move the remote time clock time back, i.e., if they come to work late and clock on and the time indicates 11:34, they will not be able to change it back to 11:30.
If you also have rounding set, your times may automatically round back, although the employee will not be able to move it back.
'Start a New Shift after XX hour': If you have this option set, the time clock software will check that there is a logical clock on and clock off. E.g. if you have set this for 12 hours and the employee forget to clock off; when they come back to work again that pay period and try to clock on, the employee will receive a warning that this is a long shift and that they may need to move the date back to clock off first and then clock on again.
Suggested setting here would be 12 – 14 hours.
Round-To Settings
'Round-To (Minutes)': You can round an employee’s clock times to the NEXT 0, 5, 15, 30, or 60mins. If you have this set, you must also consider Grace and Rounding options to ensure rounding options work as desired.
'Grace Period (Minutes)' - to the employee’s benefit. If an employee clocks in late, it moves the time back (so the employee receives extra time on their timesheet). If an employee clocks off early, it moves the time forward (so they receive extra time on their timesheet) if the clocking on and/or off occurs inside the Grace Period block.
'Auto Rounding (Minutes)' – to the employee’s detriment. If an employee clocks in late, it moves the time forward (so they lose time on the timesheet). If an employee clocks off early, it moves the time back (so they lose time on the timesheet) if the clocking on and/or off occurs inside the Grace Period block.
Example:
With the 'Round-To (Minutes)' set to 15 Minutes, the 'Grace Period (Minutes)' set to 5 minutes for both Clock On and Clock Off, and the 'Auto Rounding (Minutes)' set to 8 minutes for both Clock on and Clock Off;
If an employee clocks on at 6:55, the time will be auto rounded forward to the whole hour and will automatically display as 7:00 at the remote time clock. (Employee disadvantaged).
If an employee clocks on at 7:03, they are in the Grace Period, and so the display on the remote time clock will show 7:00. (Employee advantaged).
If an employee clocks on at 7:06, they are between both the grace and auto options with no adjustments to time.
If an employee clocks off at 7:23, the clock off time at the remote time clock will now display at 7:15 as it is within the auto rounding. (Employee disadvantaged).
If an employee clocks off at 9:41, the remote time clock will display 9:45 due to Grace Period options. (Employee advantaged).
If an employee clocks off at 10:54, as this is outside the Auto Rounding and Grace Period, the remote time clock will display 10:54.
Tip: Consider drawing a clock when working through these options and noting the clock time of the employee, and then you will clearly see if you are within the auto rounding or grace periods.
